Top Tech Questions to Ask Before Booking a Venue

Deciding on a venue that’s suitable for your event can be a challenging task. With lots of factors to take into consideration and questions to ask, it’s important to choose a venue that will bring your event to life, while also meeting the needs of your delegates.

Technical production facilities play a major role in creating your desired event experience and is a factor that should never be overlooked. The extent and level of technical production facilities can vary greatly from venue to venue, so it’s important that you know and understand what’s available to you.

We asked Gareth Neville, Head of Technical at The CCD what tech related questions you should be asking before committing to a venue.

What AV equipment is included in my rental package?

When planning an event, a venue’s AV capability is something that you should never overlook. Technical production facilities can enable you to create that memorable ‘wow factor’ for delegates and enhance the overall experience of the event. Using high quality AV equipment and expertise will showcase your conference material at its best, and it will offer a more engaging experience overall. Quite often, venues are a blank canvas, and clients can struggle to work out how to best use that space within the confines of their budget. Before booking your venue, make sure you fully understand what AV equipment is included in your package and ask for advice on how to make best use out of the included equipment.

Does the venue offer a 3D rendering service?

Often clients find it difficult to visualise their ideas in the planning stages of an event. Before choosing your venue, find out if the venue offers a 3D rendering service and if it’s included in your technical package. At The CCD, we use a 3D render software called WYSIWYG (pronounced wiz-ee-wig and stands for “what you see is what you get”), to help clients realise their event vision. The 3D renders create accurate mock up representations of what the event will look like with full furniture and technical set up, giving the client full reassurance in their desired experience for the delivery of their event.

Can I bring in my own external suppliers?

Some venues require you to use in-house or preferred suppliers, while other venues can accommodate you bringing in your own suppliers and technical equipment. This isn’t guaranteed and should be clarified with the venue in advance. It’s important to know how flexible a venue is before you make your booking, so you can make an informed decision that’s right for your event.
