We asked Craig Colley, Head of ICT at The CCD what IT related questions you should be asking before booking a venue.
What is the Wi-Fi capacity at the venue?
When choosing a venue for your next event, the Wi-Fi connectivity is one of the most important factors you need to consider. High density and high capacity Wi-Fi connectivity is becoming increasingly more important, with delegates using two or three devices per person. It’s no longer acceptable for a venue to have only one connectivity allocation per user as delegates demand a high-speed connection for each of their devices.
As an event organiser, it is important to understand what type and how much content your delegates will be consuming. As well as a user’s regular use, consider what delegates may be consuming at your event.
• Are you encouraging delegates to share content on social media?
• Will they have to stream content such as videos or livestreams?
• Will they have to download an app for the event, such as Slido for audience participation?
When it comes to scoping your Wi-Fi, speed and connectivity are the most important factors you need to consider. These come with different costs, have different capabilities and therefore you need to be talking to the technical manager at the venue to understand what capabilities you need for your event and what speed you need for your delegates, to ensure the best event experience is delivered.
What digital signage options are available?
Most venues offer digital signage, but it’s important for you to find out what exactly is available in your chosen venue. Digital signage is a great way to brand the event, showcase your company branding, promote conference partners or sell sponsorship opportunities. Signage can often be the last thing organisers think about, but it’s often the first thing delegates notice when they walk into a venue.
When deciding on the venue for your event, make sure you understand what type of digital signage is available in your package and what the upgrade options are. It’s also important to know what type of content the digital signage can host, for example image stills or video content.
